What the template gives you

One print-ready page: your company block, the customer and property, estimate number with a 30-day validity window, a scope-and-pricing table (area, square footage, prep, coats, product, price), the included and excluded lists, and an approval signature block. Plus the sentence that keeps estimates honest: this is not a contract, and changes get written change orders. The measuring math, quickly

Walls are length times height, minus 21 sq ft per door and 15 per window. A 12x12 room with 8-foot ceilings runs about 350 sq ft of wall after openings; a whole-interior repaint is that math summed across rooms; an exterior is perimeter times wall height with the surface type adjusting how far a gallon goes. Pricing it: rate, materials, margin

Most residential painters price from a production rate (how many square feet a painter-hour actually covers in prep and two coats) multiplied by loaded labor cost, plus materials at real coverage (about 350 sq ft per gallon per coat, less on texture), plus overhead and margin. Whatever your numbers are, the estimate presents them by area rather than as one lump: itemized bids survive comparison shopping because the customer can see what each part of the job costs, and trimming scope beats discounting price when the number needs to move.

The deeper tooling for this (rate libraries, cost databases, proposal generation) is painting estimating software territory; the template is the manual version of the same discipline.

The mistakes that sink estimates

Lump-sum bids. One number invites one comparison: bigger or smaller. Itemized scope invites a different question: which bid is more complete?

Invisible prep. If patching, sanding, and priming aren't on the page, you're the expensive bid for no visible reason. Prep is a third of the job; let it be a third of the story.

No validity window. Material prices move. An estimate without an expiration is a price you're honoring forever.

Slow delivery. Same-day estimates close at multiples of three-day estimates. The template exists so the write-up never blocks the send.

Close the loop at the kitchen table

The strongest version of this document is presented, not emailed: walk the scope, show the number by area, and answer the only question that outranks price, which is what the house will actually look like. How do you write a painting estimate?+
Surface by surface, with the prep visible. "Living room walls, patch and sand, two coats Cashmere Eggshell: $840" tells the customer what they're buying and tells your crew what was sold. Add the totals, what's included (protection, cleanup, walkthrough), what's excluded (rot repair, wallpaper removal), how long the price is valid, and a line making clear the estimate isn't a contract. What should be included in a painting estimate?+
Your company block with license number, the customer and property, an estimate number and validity window (30 days is standard), the scope table with square footage, prep, coats, and product per area, pricing (itemized or by area), an included list, an exclusions line, and a signature block for approval to proceed. Product names matter: an estimate that says Duration or Regal Select reads as a professional spec; one that says "paint" reads as a guess.
How long should a painting estimate take to prepare?+
The walkthrough takes 20-40 minutes; the write-up should take 10-20 with a template or estimating software, and the whole thing should reach the customer same-day. Speed is a close-rate lever: the first professional bid in the inbox frames the job, and estimates delivered three days later are answering a question the homeowner already half-decided. Painters who present the estimate at the kitchen table before leaving close the most of all.
Is a painting estimate binding?+
No. An estimate is a good-faith quote, and this template says so explicitly: pricing is based on the walkthrough, hidden damage and scope changes are handled by written change order, and the job proceeds on a signed contract with full terms. That last part protects both sides. The customer knows the number won't quietly grow; you know a scribbled figure from March isn't being enforced against you in July.
